Help with the simulations

Navigation

The Navigation simulation is different most of the other GMAS simulations. It operates only in one mode; a self-running mode that will demonstrate basic navigation concepts in GMAS including:

Requests

Creating an Initial Request, Part 1
  • Enter basic request information such as Org and project type; indicate whether or not the request is retroactive
  • Enter request identifying information such as title, sponsor, PI, discipline, and subagreements
  • Add request submission details
  • Record request start and end date and number of budget periods
  • Record budget period start and end dates
  • Use <Save and continue later> feature
Creating an Initial Request, Part 2
  • From the Segment homepage, navigate to the incomplete initial request and resume the guided step process
  • Enter remaining request information, for example budget approval requirements
  • Add a subagreement
  • Add research team staff member
  • View project administrative team
  • Answer approval questions
  • Finish request and go to budget
  • Enter budget by total direct and total indirect costs only for budget period 1 and 2
  • Edit subagreement budget
  • Complete initial request
Initiate Internal Review and Submit to Sponsor
  • From Request homepage, initial internal review
  • Confirm internal required signatures and send e-mail notification
  • Log PI, Department Chair Signatory, and University Authorized Signatory signatures
  • Select A21 code
  • Edit submission details and submit proposal to sponsor

Segment Revision

Subagreements

Part 1
  • From Segment homepage, navigate to Subagreement homepage and view detailed information for the subagreement
  • Review the subagreement budget as originally proposed by the sponsor
  • Begin drafting the subagreement
  • Edit subagreement information such as indirect cost basis, end date, and reporting requirements
Part 2
  • Send notification about the drafted subagreement
  • Log required signatures for the PI, University Authorized Signatory, and subrecipient
  • View fully executed subagreement
Part 3
  • Create a segment revision in order to issue money to the subagreement
  • Enter necessary information to validate subagreement account and prepare for sending to the GL
  • Allocate money to the subagreement account and issue funds
  • Review segment revision information and commit changes
  • Confirm and send action memo

Financials

Reports
  • From Segment homepage, navigate to scheduled financial reports
  • Create new scheduled financial report
  • Enter necessary information and edit frequency of the report
  • View newly scheduled reports
Receivables
  • View scheduled reports for the segment
  • Edit report and view receivable
  • View scheduled receivables and reports
Receipts
  • Search for a receipt
  • View receipt details
  • Create a new receipt
  • Enter receipt attributes such as sponsor, payment issuer, payment method, receipt reference, date issued, and amount
  • Search for receivable to apply the newly created receipt
  • Enter amount of the receipt to be applied to the selected receivable
  • Confirm receipt
  • Create and view credit voucher

Action Memo

The action memo will be changing as part of the GMAS release scheduled for 6/11. This simulation will be updated soon to reflect these changes. More details about the specific enhancements can be found here

The Action Memo simulation is different most of the other GMAS simulations. It operates only in Guided Tour and Explore mode. In the Guided Tour mode, the simulation will walk through, from top to bottom, all the fields. The Explore mode, as always, will allow you to go at your own pace and view the descriptions for each field.
